The solution can help companies that:
  • produce complex, multi-component, custom equipment or other objects
  • use a wide range of spare parts whose composition and quantities constantly change
  • need to organize and manage a seamless supply of spare parts and materials for production without incurring high warehouse and personnel costs.

The Challenges
Our client needed an integrated system that could consolidate existing databases and support the company’s growing order volume. The challenges of this project were:
Managing complex product configurations

The client produces elaborate products that consist of thousands of parts from various other suppliers. Each order is unique, so stocking spare parts in advance was not economically viable.
Complicated corporate structure

InkCups is a large manufacturing company with dozens of divisions and departments. The company's offices are geographically distributed.
Rapidly growing business

As the company began to actively grow, managing operations required increasing time and resources. The number of routine operations was quickly increasing, resulting in additional overhead costs to hire personnel.
The client's existing software lacked flexibility

The existing solutions were not flexible as their structure and architecture did not match the reality of the company. This standard software contained many limitations that held the company back from achieving efficiency.

The client's existing software lacked flexibility

The existing solutions were not flexible as their structure and architecture did not match the reality of the company. This standard software contained many limitations that held the company back from achieving efficiency.
The Solutions
We had to develop a custom ERP system for InkCups to enable seamless operations across all divisions, have all necessary data in one database, and automate routine processes.
Efficient inventory management

To improve operational efficiency, we synchronized parts procurement with real-time inventory levels and production requirements, reducing storage costs, improving accounting accuracy, lowering personnel expenses, and eliminating excess or slow-moving inventory.
Common database

It was necessary to integrate all aspects of the business to have timely and accurate information regarding the processes in all departments.
Business process automation

We needed to create an automated system that allows our client to optimize processes, share accurate information throughout all departments and manage interactions between them. Additionally, the system had to be integrated with the company’s existing accounting software.

Product and Order Management
We created a system that provides:
  • Production queues with plans to supply parts on specific operation dates
  • Breaking down ordered equipment into multiple purchase orders for suppliers
  • Automatic preparation of purchase requisitions for suppliers with delivery schedules
  • Assembly control based on production specifications with risk assessment
  • Automatic target date calculation at the time an order is received, taking into account order placement time, weekends, and holidays
  • An automated report of production data that shows estimated and actual lead times
  • Creation and management of transfer inventory orders, allowing remote departments to place internal orders with the main warehouseternal orders for the main warehouse)
  • Outsource and dropship functions (for items that require third-party vendors)

Price Management
The customer had a specific quoting structure which we accommodated by creating standard, territorial and specific price adjustments based on the buyer type or region. For example, some buyers have an automatic minimum allowable price for their order due to the export pricing based on the order’s ship-to-country.

Portal Structure
With the company’s authorization, their customers are able to create an account to make orders via web or mobile devices. Once the order is placed, it is automatically moved into production.

We also built an order management system (OMS) to manage the internal business process for our client. This allows the company to create and revise products, quotes, orders, invoices, warehouses, vendors, and customers.

"The Inkcups project was developed in cooperation with ITUniversum in 2013. The ITUniversum team showed high qualifications in all process aspects: analysis, design, development, testing, and implementation. I also would like to note the flexibility of the teams and the quick response to changing business requirements and proposals for adapting business company processes."
